SharpKeeper (“SharpKeeper,” “we,” “our,” or “us”) provides facility work-request and maintenance operations software for organizations. This Privacy Policy explains how we collect, use, and protect information when you use SharpKeeper websites, web apps, and mobile apps.
Information we collect
Account and contact information
We may collect information such as your name, email address, phone number, organization, role, and login/account details when you or your organization create or manage a SharpKeeper account.
Work-request information
SharpKeeper stores information submitted through the service, including work request titles, descriptions, locations, categories, priorities, statuses, assignments, notes, messages, completion details, activity history, and related setup data.
Photos and attachments
Users may choose to upload photos or files to document a facility issue or completed work. SharpKeeper stores those uploads as part of the work-request record.
Communications and notifications
SharpKeeper may process email and SMS messages related to work-request intake, assignments, status updates, and notifications. Notification delivery and event logs may be kept for audit, troubleshooting, and reliability.
Billing information
If your organization purchases a SharpKeeper plan, billing may be handled by a payment processor. SharpKeeper does not store full payment card numbers unless explicitly stated in a separate billing workflow.
Technical and usage information
We may collect basic technical information needed to operate, secure, debug, and improve the service, such as server logs, session information, device/browser information, and error or delivery logs.
How we use information
We use information to provide and operate SharpKeeper, create and manage user and organization accounts, submit and track facility work requests, send selected email or SMS notifications, provide dashboards and reports, support onboarding and customer service, maintain security, prevent abuse, and improve reliability.
How information is shared
We do not sell personal information.
We may share information with service providers only as needed to operate SharpKeeper, such as hosting providers, database/storage providers, email/SMS delivery providers, and payment processors. We may also disclose information if required by law, to protect rights and safety, or with your organization’s instruction or consent.
Information inside a SharpKeeper organization account may be visible to authorized users in that organization based on their role and permissions.
Data retention
We keep information as long as needed to provide the service, comply with legal or billing obligations, resolve disputes, maintain backups, and support legitimate business operations. Organizations may request deletion or export of their data by contacting SharpKeeper support.
Security
We use reasonable technical and organizational measures to protect information, including encrypted connections in transit. No system can be guaranteed completely secure, but we work to protect SharpKeeper data and restrict access to authorized users and service providers.
Your choices
Depending on your organization settings and role, you may be able to update account information, notification preferences, and work-request content in SharpKeeper. You or your organization may contact us to request access, correction, export, or deletion of information, subject to legal, security, and operational requirements.
Children
SharpKeeper is intended for organizations and business/facility operations. It is not directed to children.
Third-party links and services
SharpKeeper may use third-party services for hosting, communications, storage, billing, and related operations. Their handling of information is governed by their own terms and privacy practices where applicable.
Changes to this policy
We may update this Privacy Policy from time to time. The updated version will be posted with a new effective date.
